     The “Next Six Months” is actually down to “Five” and now is the time to be planning for those events that are going to come due in the March and April time frame in preparation for May and the State Convention.
     However, before I tell you where we are going with that, I need to review some very important areas that I discussed with you at the Winter Meeting, and I am going to ask that all District Deputies might like to have their Grand Knights read my articles. If nothing else it will reinforce the leadership that you are giving to them and may be a little more receptive if they understand that you are under the gun the same as they are.
      District Deputy Semi-Annual reports (Form 944’s) are due as an evaluation of what the council is doing in particular areas and let’s supreme and the state deputy understand where problem areas are and what assistance we can offer in certain areas. District Deputies should discuss each of the areas with the Grand Knight, Trustees and council officers and any areas that need assistance with should be so annotated.
     Audits – Semi-annual audit (Form 1295) for 31 Dec is due no later than 15 Feb 2010. We have asked all councils to invite their District Deputy to sit in and observe the trustees as they conduct the audit. Any assistance needed can be offered by the District Deputy and each District Deputy should insure that Supreme, State Deputy, the council and the District Deputy receive a copy of the audit and trustees should be furnished a copy also for their personal files. This audit form requires the signature of at least two trustees and must be mailed. This form is not available to be filled out and emailed. Remember it must be signed by at least two trustees at the time of the audit.
     Fraternal Survey (Form 1728) – as each District Deputy is aware this is of vital interest to the legislators in the state of Washington as an issue and has been explained in detail to them. They in turn should advise you of the added importance of the submission of this form by all councils.
     Now we have completed the next group of reports that need to be turned in by each council. We are not going to go through the process we have just completed of taking six months for these reports to be completed and still have two councils that have not completed their audit report. Each District Deputy has been informed it his responsibility to get these reports completed.
     The “Next Five Months” are the busiest time of the year and it has already started. Each council has received its annual Per Capita dunning list along with the suggested donation by each council for the Pennies for Heaven Fund (PFH). This is usually a no brainer since Per Capita is not an arguable item as the rules and By-Laws of the Order are very specific. No Pay – No delegates at the State Convention.
      Each District Deputy should already be prepping their councils for what is to come as to the report required by each Grand Knight and District Deputy for the State Convention Handbook. The request for advertisements by councils for the State Convention Handbook and the election of delegates for the State Convention has to be completed. Submission of these delegates is required to be in hand of the State Secretary by a certain date. The next big area is the awards area which you will receive written instructions on how to write these for submission, who to send to and what date it is required. By the way, it is best to start now on all of these awards, Knight/Family of the Year, Surge with Service area awards for each program, Humanitarian Award and so on. Your District Deputy has a list of all of the awards that need to be ready to go between 1 and 10 April. So how much time do you really have left? The State Convention will be here before you know and another year is almost over and a sigh of relief. Almost forgot what about the council programs of Star, Columbian and the most important event of all Grand Knights, the election of new officers for the coming year. Planning begins almost as soon as it is over, the state convention that is. The current council officers should starting setting up an agenda for the coming year for 1 July when the new Grand Knights takes over, he doesn’t have to accept it but it sure is nice to have something to start with.
     The old adage about a never ending cycle would have to correctly directed toward the Knights of Columbus for those who have been members for 60 years or however long will tell you. It never ends but it may change a little in format or whatever. A few awards have been added and some deleted but the cycle remains the same. 1 July a New Grand Knight and Council Officers, reports are done or not, and so it goes but it is something we all have come to love and do or we wouldn’t be Knights.
